About the Role

Our client is seeking a detail-oriented and highly organized Administrative Assistant to provide dedicated support to their in-house legal team. This is a 12-month contract opportunity based onsite in Juno Beach, Florida, where you will play a key role in ensuring the smooth operation of financial and administrative functions. You will assist with routine accounting tasks, prepare simple legal forms for attorney review, and leverage modern AI tools to improve team processes and reporting.


Key Responsibilities

  1. Manage data entry and maintain accurate financial records using advanced Microsoft Excel skills.
  2. Prepare, process, and track invoices, expense reports, and purchase orders to support accounting workflows.
  3. Assist with account reconciliation and verification of financial data to ensure accuracy.
  4. Utilize AI tools such as ChatGPT and Microsoft CoPilot to reconcile data, generate reports, and streamline administrative processes.
  5. Draft and assemble simple legal documents and correspondence, leveraging Mail Merge functions in Microsoft Word for attorney review.
  6. Organize and maintain both digital and physical filing systems for easy retrieval and compliance.
  7. Provide general administrative support including scheduling, document preparation, and handling internal inquiries related to financial documentation.


Required Qualifications

  1. 3–5+ years of experience in an administrative support role, ideally within a legal, financial, or corporate environment.
  2. Strong proficiency in Microsoft Excel for data management and reporting.
  3. Demonstrated expertise with Microsoft Word, including mastery of Mail Merge functions.
  4. Proven capability using AI tools such as ChatGPT and Microsoft CoPilot to enhance productivity and reporting.
  5. Exceptional attention to detail and organizational skills.
  6. Ability to handle sensitive and confidential information with discretion.
  7. Strong written and verbal communication skills.


Preferred Skills

A bachelor's degree is preferred but not required. Our client values practical, hands-on skills and is eager to speak with candidates who can demonstrate strong technical abilities regardless of their formal years of experience.
